Data sync failures between HubSpot and an ERP like NetSuite or Dynamics are almost always caused by one of three things: a native connector that doesn't support your business logic, a missing field mapping, or a conflict between how each system defines the same object. A custom integration resolves this by building the sync rules around your actual data model, not a vendor's template.
Most of the time, this is a sync gap: one system is the source of truth, but updates don't flow reliably to the other. Sometimes it's a one-way integration set up as a stopgap; other times it's a timing issue where data batches instead of syncing in real time. The fix is usually a bi-directional integration with clearly defined conflict resolution rules, so both teams see the same record regardless of which system they're in.
A well-built ERP integration covers three things: object mapping (which records in each system correspond to each other), field-level sync rules (what data moves, in which direction, and when), and conflict handling (what happens when both systems have different values for the same field). For businesses with custom objects or non-standard workflows, this usually requires custom middleware rather than a native connector.
Off-the-shelf connectors work well when your processes are standard and both platforms follow default configurations. Once you add custom objects, multi-step business logic, or a need for real-time data rather than batch syncs, a generic connector hits its ceiling quickly. Custom integrations cost more upfront but eliminate the workarounds, manual corrections, and data quality issues that come with a connector that only covers 80% of your requirements.
A scoped integration project usually moves through four phases: discovery (mapping both systems, data models, and business rules), architecture design (deciding how data will flow and how conflicts are handled), build and test (developing the integration and validating edge cases), and handoff (documentation, training, and go-live support). For straightforward bi-directional syncs, this can take four to eight weeks. Complex orchestration layers involving multiple systems take longer.
Look for a partner with documented experience building integrations, not just configuring them. Ask to see case studies that involve the systems you're connecting, and check whether they've worked with your specific ERP or platform before. A strong partner will insist on a discovery phase before quoting: if someone quotes a custom integration from a one-line brief, that's a flag.
