This men’s health organisation specialises in personalised treatments supported by qualified doctors and pharmacists. With a growing patient base and highly sensitive data to manage, they needed a secure, efficient way to streamline prescriptions and ensure compliance—all while using HubSpot as their single source of truth.

The problem

The prescription process required multiple handoffs between doctors, payment systems, and pharmacies. On paper, it was messy and prone to errors. Online, it risked exposing sensitive personal and payment data.

The Solution

Engaging.io built a custom CRM card inside HubSpot that allowed doctors to generate prescriptions, securely capture payments with Stripe, and automatically update properties for pharmacy workflows. Pharmacists were given a secure, read-only view to review scripts and payments, supported by an A5 print view. Role-based permissions ensured only authorised staff could access sensitive data, while automation alerted pharmacists as soon as a script was ready to be processed.

The Implementation

The project started with mapping the existing prescription journey—identifying where manual processes created risks or delays. We then designed a custom CRM card in HubSpot to serve as the central hub for both doctors and pharmacists.

Doctors gained the ability to create prescriptions directly within the HubSpot sidebar, attach Stripe payment details, and store everything securely on the contact record. Pharmacists received a read-only view of these records, allowing them to approve and process orders quickly without risking accidental edits. For added convenience, we built an A5 print function for physical prescriptions.

To keep sensitive information safe, permissions were restricted to authorised HubSpot teams only. Automation was layered in so that when key milestones were reached—like payment confirmation or script completion—deal properties were updated and pharmacists were automatically notified.
