EventsAir is a global event management platform helping organisers streamline event operations, registrations, and attendee engagement. With a mature tech stack including Zoho and Outreach, they were ready to elevate their marketing precision—but their tools weren’t speaking the same language.

The problem

EventsAir had all the right tools—Zoho for CRM, Outreach for outbound, and a powerful platform of their own. But without integration, their marketing operations were anything but streamlined. Data was siloed, lifecycle stages weren’t automated, and reporting lacked real-time accuracy. Manual workarounds slowed the team down and made campaign execution a guessing game.

The solution

Engaging.io worked closely with EventsAir to deliver a unified, scalable solution. We implemented HubSpot Marketing, Sales, and CMS Hubs to provide end-to-end marketing and sales alignment.

A phased approach allowed us to migrate seven regional websites into a single HubSpot CMS instance, ensuring consistency while allowing localisation. Our team developed a Salesforce-HubSpot connector that synced lead and contact data globally. We also integrated their proprietary EventsAir platform via webhooks, enabling seamless lead capture from live events.

Automation workflows were implemented to segment leads by region and funnel stage, while customised dashboards gave sales and marketing teams real-time insights across the board.

To bring EventsAir’s global marketing vision to life, Engaging.io executed a staged implementation that tackled complexity head-on. First, we consolidated seven regional websites into a single HubSpot CMS instance, using reusable modules to streamline content management while still allowing localisation for each market.

On the CRM front, we developed a custom two-way sync between Salesforce and HubSpot using middleware, ensuring accurate data mapping, deduplication, and a seamless lead handoff between marketing and sales. We also connected EventsAir’s proprietary platform to HubSpot via webhooks, enabling real-time capture of event registration data and triggering automated follow-ups based on attendance.

To future-proof the system, we built scalable email templates and campaign frameworks, including region-specific workflows aligned to the customer journey—laying the foundation for consistent, high-converting engagement across continents.
